The Reactive Trap

What Reactive IT Is Actually Costing You

Most Michigan businesses run on reactive IT — wait for something to break, call someone, pay the bill. Quiet weeks feel cheap. Then the surprises arrive, and the cost shows up everywhere except on the invoice.

The Olympus Rhythm

Proactive IT, Day By Day

Olympus isn’t a sales line — it’s a cadence. Here’s what’s actually happening on your environment while you’re focused on running the business.

Daily

Endpoint monitoring · patch management · backup verification · help desk · ticket triage · security event review

Weekly

Vulnerability scans · restore tests · vendor coordination · firmware audit · phishing-simulation review

Monthly

Security posture review · ticket-trend analysis · employee training · M365 secure-score · documentation refresh

Quarterly

Business review · IT roadmap · budget forecast · risk register · cyber-insurance evidence package

Every Olympus Engagement Includes

What’s Actually In Your Service

  • 24/7 monitoring & alerting. Endpoints, servers, network gear, cloud services. When something is off, we see it first — usually before it affects anyone on your team.

  • Patch management. Windows, macOS, and the third-party apps that ransomware actually targets — Chrome, Firefox, Adobe, Java, Zoom — patched on a tested schedule.

  • Managed EDR, not just antivirus. Endpoint detection that watches for ransomware behavior, blocks it in real time, and gives us a forensics trail if anything slips through. Required by most cyber insurance underwriters.

  • Encrypted backup with tested restores. Workstations, servers, M365, line-of-business data — backed up nightly, restore tested monthly, with an offline copy that ransomware can’t reach.

  • Local help desk. Your team calls or emails and reaches a real person who knows your stack. Average response under 15 minutes during business hours; on-call escalation after hours.

  • Microsoft 365 management. Encrypted email, MFA, conditional access, retention, anti-impersonation rules, secure-score baseline — and we maintain the tenant configuration as Microsoft changes their defaults.

  • Onboarding & offboarding flows. New hire setup that’s the same every time. Terminations that close accounts immediately and document it for audit. No more dormant logins for people who left in 2023.

  • Quarterly business reviews. Strategic IT planning so your decisions stop being reactive. Hardware refresh, security roadmap, cyber-insurance compliance, budget forecasting — known months out, not the morning of.

The Olympus Methodology

Four Pillars. One Outcome.

Olympus isn’t a list of tools — it’s how we build, secure, document, and improve your environment month after month. Every pillar runs continuously. Together they’re the difference between an IT vendor and an IT partner.

Observe

24/7 monitoring, alerting, and review of every endpoint, server, and critical cloud service we manage.

Defend

Managed EDR, MFA enforcement, DNS filtering, encrypted backup, M365 hardening, phishing training, and a documented incident response plan.

Operate

Help desk, patching, vendor coordination, onboarding & offboarding — the day-to-day work of keeping your business running.

Advance

Quarterly business reviews, roadmap, budget planning, and the strategic IT decisions that compound over time.

All four pillars run every day, every week, every quarter. Olympus is how we turn IT from reactive into predictable.

Questions We Hear All The Time

Olympus Pro-Active IT — FAQs

Break-fix waits for something to fail, then charges you to fix it. Olympus runs continuously — monitoring, patching, securing, and improving — so most failures never happen, and the ones that do get caught early. You’re trading reactive surprises for a predictable monthly rhythm. The total cost is usually lower because the expensive emergencies stop happening.

Most Olympus clients are fully onboarded in 2–4 weeks. The first week is discovery — we document what you have, what’s running, who has access, and what’s already broken. Weeks two and three are deployment — agents on every workstation, M365 baseline applied, backup configured, MFA enforced. Week four is the first business review where we walk you through everything we found and the 90-day plan.

Yes — this is one of the most underrated benefits of Olympus. Cyber insurance underwriters increasingly require documented controls (MFA, EDR, backup, incident response plan, employee training). We configure your systems to meet those standards and provide the documentation your renewal questionnaire asks for. Most of our clients see better premiums or better coverage at renewal because they can honestly check the boxes other applicants are guessing on.

Olympus works alongside an internal IT person — they get a partner instead of being a one-person help desk, security team, and roadmap planner all at once. We take the 24/7 monitoring, after-hours response, security operations, and vendor coordination off their plate so they can focus on the projects and the people. Many of our happiest clients have a strong internal IT lead.

In nearly every case, yes. We support the standard Microsoft 365 stack, QuickBooks (desktop and online), Sage, line-of-business apps across legal, optometry, hospitality, insurance, and most general-business categories. If you have something specialized, we sign on as the support contact, coordinate with the software vendor on your behalf, and become the one phone number you call.

Spartan Protect is our baseline re-active MSP offering — RMM monitoring, managed EDR, and remote support. You get a security baseline and someone to call when things break, at a lower monthly cost. Olympus is the full proactive operating model: everything Spartan Protect covers, plus a local help desk, Microsoft 365 management, onboarding & offboarding flows, vendor coordination, and a quarterly business review that gives you a real IT roadmap. Spartan Protect is the right call for businesses that want the security baseline without the full proactive overhead; Olympus is for businesses that are ready to stop reacting.

Our help desk answers in under 15 minutes during business hours. For after-hours emergencies — system down, security incident, business-impacting outage — we have an on-call escalation path. Most non-emergency tickets are resolved within the same business day. We publish our response metrics in your quarterly business review so you can see we’re holding the line.

Pricing depends on the size of your team and how your people actually work — a shop-floor user isn’t the same as an executive, and you shouldn’t pay like they are. Most small-to-mid-size Michigan businesses fall in a predictable monthly range that includes proactive monitoring, help desk, security, backup, and business reviews. We’re happy to put a fixed quote in writing after a free 15-minute consultation. No surprise bills, no hourly nickel-and-diming.
