Northern Technology Services (“NTS,” “we,” “our,” or “us”) is committed to protecting the privacy of visitors to ntsmanaged.com (“the Site”) and the prospective and active clients we serve. This Privacy Policy describes what personal information we collect, how we use it, who we share it with, and the rights you have over your data.
This policy covers visitor and marketing interactions with the public website. Data we handle on behalf of active clients under a signed Master Services Agreement, Statement of Work, or Business Associate Agreement is governed by those agreements rather than this policy.

2. Information We Collect
2.1 Information You Provide Directly
We collect information you choose to share with us through the Site, including:
- Contact and inquiry forms. Name, email address, phone number, business name, and any details you include when you fill out a “Get Help,” “Discovery Call,” or other contact form.
- Support ticket submissions. If you submit a request through our Get Help widget or self-service flow, we collect the issue description, contact details, and any attachments you choose to provide.
- Email correspondence. When you email us, we receive your email address, name, and the content of your message.
- Phone calls. Caller ID, voicemail content if left, and notes taken during the call.
- Referral submissions. If you submit a referral through our Northern Tech Connectors program, we collect your contact details and the contact details of the referred party.
2.2 Information Collected Automatically
When you visit the Site, we and our service providers may automatically collect:
- Device and browser information (browser type, operating system, screen size, language).
- IP address and approximate geographic location (city/region level, derived from IP).
- Usage data (pages visited, links clicked, time on page, referring URL, exit pages).
- Cookies, pixels, and similar tracking technologies — see Section 4.
3. How We Use Your Information
We use the information we collect to:
- Respond to your inquiries, support requests, and quote requests.
- Schedule and conduct introductory or discovery calls with prospective clients.
- Operate, maintain, secure, and improve the Site and our services.
- Send relevant business communications (e.g., proposal follow-ups, scheduling confirmations).
- Send marketing communications, but only to addresses that opted in. Every marketing email contains a one-click unsubscribe link.
- Process referral submissions and contact referred parties.
- Comply with legal obligations, enforce agreements, and protect the rights and safety of NTS, our clients, and the public.
- Detect, prevent, and respond to fraud, security incidents, and abuse of the Site.
4. Cookies and Tracking Technologies
The Site uses cookies and similar technologies to operate, measure traffic, and support advertising. Categories used:
- Strictly necessary cookies. Required for the Site to function (e.g., session, security, load balancing). These cannot be disabled.
- Analytics cookies. Help us understand how visitors use the Site (aggregated, non-identifying). Includes Google Analytics and AIOSEO Search Statistics.
- Advertising and conversion measurement. The Site loads the Meta (Facebook) Pixel to measure ad campaign performance and build remarketing audiences. The Pixel sends data about your visit to Meta Platforms, Inc.
- Functionality cookies. Remember preferences (e.g., dark/light theme on the Get Help widget).
You can control or block cookies through your browser settings. Blocking strictly necessary cookies may break parts of the Site. You can opt out of Meta’s advertising cookies at Meta’s ad preferences.
5. Who We Share Information With
We do not sell personal information. We share information only with service providers, partners, and parties as described below:
- Service providers we use to operate the Site and our business. These include website hosting (Vultr), email delivery (Microsoft 365), CRM and form intake (Growably / GoHighLevel), ticket and helpdesk platform (HaloPSA), self-hosted contact platform (Chatwoot), and analytics platforms (Google, AIOSEO, Meta). Each is bound by its provider’s data processing terms.
- Communication tools. Phone provider (Telnyx), SMS routing, calendaring tools.
- Professional advisors. Lawyers, accountants, insurers, when necessary and only what they need.
- Acquirers. In the event of a sale, merger, or asset transfer of NTS, your information may transfer to the acquiring entity, subject to the same protections.
- Law enforcement and legal process. When required by valid subpoena, court order, or legal process, or to protect rights and safety.
We do not share or rent personal information for unrelated third-party marketing.
6. How Long We Keep Information
- Contact form and inquiry submissions: retained for up to 3 years to support follow-up and provide prior context if you reach out again. Deleted on request.
- Active client records: retained for the duration of the engagement plus 7 years for tax, audit, and legal purposes.
- Marketing email subscribers: retained until you unsubscribe or request deletion.
- Website analytics: retained per the analytics provider’s defaults (typically 14–26 months).
- Backups: data may persist in backup archives for up to 90 days after deletion from primary systems.
7. How We Protect Your Information
NTS applies the same security practices internally that we recommend to our clients:
- Multi-factor authentication on all administrative accounts.
- Encryption in transit (TLS 1.2+) for all Site connections and most service provider integrations.
- Role-based access controls and least-privilege principles for internal staff.
- Documented offboarding procedures to revoke access when team members or contractors depart.
- Endpoint detection and response (EDR) on company devices.
- Regular security reviews and prompt patching of website and infrastructure software.
No method of transmission or storage is 100% secure. While we work to protect your information, we cannot guarantee its absolute security.
8. Data Breach Procedures
If we become aware of a data breach affecting personal information, we will:
- Investigate to determine scope, root cause, and impact.
- Notify affected individuals without undue delay where required by law.
- Notify applicable regulators within the timeframes required by law (e.g., 72 hours under GDPR where applicable).
- Take corrective action to prevent recurrence.
9. Your Rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Delete your information, subject to legal and contractual retention requirements.
- Restrict or object to certain processing.
- Port your information to another service in a structured, machine-readable format.
- Withdraw consent for processing based on consent (e.g., marketing emails).
- Opt out of “sale” or “sharing” for cross-context behavioral advertising (CCPA/CPRA). NTS does not sell personal information; we do use the Meta Pixel for advertising — see Section 4 to opt out.
- Lodge a complaint with a supervisory authority (e.g., your state Attorney General or a data protection authority).
To exercise any of these rights, email privacy@ntsmanaged.com with the subject line “Privacy Request.” We will verify your identity before responding and aim to respond within 30 days.
10. Children’s Privacy
The Site and our services are directed to businesses and are not intended for children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
11. International Data Transfers
NTS is based in the United States. Our service providers may process data in the United States and other countries. Where personal information is transferred outside your country, we rely on the legal mechanisms required by applicable law (e.g., Standard Contractual Clauses for EU/UK personal data).
12. Third-Party Links
The Site may link to third-party websites (e.g., partners, vendor documentation, social media). We are not responsible for the privacy practices of those websites. Review their privacy policies before sharing information with them.
13. Do Not Track
The Site does not respond differently to “Do Not Track” browser signals because no industry standard interpretation exists. You can still control cookies through your browser settings as described in Section 4.
14. Changes to This Policy
We may update this Privacy Policy periodically. The “Last updated” date at the top reflects the most recent version. Material changes will be announced via a notice on the Site or by email to active marketing subscribers where appropriate.
